ØCall to Order
Starlet Farrior, PTA President, called the meeting to order at 7:00 pm.
ØPledge of Allegiance
Led by Corey and Carson Kinne, Zach Farrior
ØWelcome and Introduction
Welcome to all the new faces!
ØApproval of prior Meetings minutes
Amanda Kirby presented highlights from the August minutes. Mentioned open positions, membership drive, items on radar and volunteer needs. Copies are available on each table. If there are no questions or points of discussion, please motion to accept without reading minutes aloud in their entirety. Christina Kinne motioned and Michele Custalow seconded. Minutes approved as presented.
ØTreasurer’s Report
Megan Lester presented the August 2016 Treasurer’s report. Copies of the Treasurer’s Report are available for review. Summary of 8/31/16 report: Starting total: $4,651.25. Income $27.44, Expenses $250.00, ending total: $4,428.69. Not a lot happened in August. If there are no questions or points of discussion, please motion to accept the report. Motioned by Amanda Kirby and seconded by Michele Custalow. Treasurers Report approved as presented.
ØPrincipals Reports
Mrs. Traveline: good to see so many new faces. First she addressed an item on the agenda regarding custodial fees for PTA meetings. The fees are only charged during the summer months because the staff is on 10 hour days and PTA will not be charged during the regular school year. No need to adjust the budget, it will not be a monthly expense. Weekend use of the building and grounds will remain the same, it is a charge.
Thank you to the PTA for the welcome back treats for the staff, they were appreciated. There is a meeting tomorrow (9/23) at noon regarding the Fun Run, Kristen Keatley will have more on that topic later in the meeting. For those who haven’t heard, the 4th grade classes were reduced, Ms. Ricotta has moved from 4th to K and her 4th graders were distributed between other 4th grade classes. Parents were all notified by the evening of Back to School night. If they weren’t in attendance they were called.
Reminder that Sept 30th is a half day of instruction. Change for this year, Character book day will not be on 10/31, it will be moved to Dr. Seuss week that is later in the year. Too much going on that day.
Mrs. Traveline urges parents and guardians to contact her directly with any questions or concerns, the Administration does not follow the PTA Facebook forum and they definitely want to hear what you have to say, they want to address it directly. They have an open door policy and while she thinks the FB forum is a good tool for PTA reminders, anything regarding the school should be brought directly to their attention. Call or email either Mrs. Traveline or Mrs. Brown.
Mrs. Brown: Thanks for the wonderful support so far, the bus loop and lunch help have been useful. Question from attendee: How long do you want lunch room help? Mrs. Traveline said they’ll take help as long as possible. The idea is to guide the kids so they will become more self-sufficient, the K’s are getting better!
School picture day is Sept 29th. For those affected, bus route 10 has been rearranged and is not as full, that should alleviate concerns. School has been conducting fire and lockdown drills. Students are transitioning well from summer vacation. Question: Who do I contact about gifted testing? Jackie Slemaker is the correct contact, and information will go out regarding this soon.
ØTeacher Introductions and Reports
Karen Taylor for EE: added more staff to the team, adjusting well. She is the parent of a 4th grader herself, wants the parents to know their kids are in good hands with our great teachers. Thanked the PTA for everything we do throughout the year and stated that strong parental support is essential to student success. Question: Do speech teachers change every year? Mrs. Traveline said we’ve had some itinerant teachers previously, but this year we have added full time person so it should be more stable going forward.
Mrs. Jamison for 5th grade: introduced a new teacher, Lauren Miller. That makes 4 Lauren’s on the 5th grade team! Positive first 3 weeks, starting a PBL on the U.S. and then will jump into science and matter.
Ms. Wright for 4th grade: adjusting to addition of the students that moved from Ms. Ricotta’s class. Big PBL (project based learning) coming to 4th grade at the end of the first 9 weeks.
Mrs. Kipp for 3rd grade: introduced Ms. Morelli who is new to Jacobs this year. Upcoming 3rd grade PBL in conjunction with Veterans Day and music. 3rd grade off to a great start.
Mrs. Traveline mentioned that the class sizes for Kindergarten were large for the little kids, and the addition of the extra class makes it more manageable.
ØCommittee Updates
Ways and Means: Kristen Keatley, Chair. You may have noticed you did not receive our traditional catalogue sales fundraiser at the beginning of the school year. Instead we are doing a “Fun Run” www.boosterthon.com . Every student will be involved and get a t-shirt regardless of whether or not they solicit sponsors for the run. Students will be running laps around the gym, roughly 30 laps. Hopefully day of we can do it outside, weather permitting. 11/11 is the day (Mrs. Traveline mentioned 4th grade has a field trip that day). Kick-off is October 31st, and there is a meeting tomorrow with administration to finalize details. HELP is needed soliciting companies to get donations for tiered advertising. Letters have already been sent out to companies that have supported Jacobs in the past, but that is just a start. If you have a contact, please use it or let Kristen know. She needs help with follow-up phone calls to the companies that have already received a letter. She has a master list and can give you a portion to contact. Teachers have been asked to provide t-shirt sizes for their students. Either by guessing or checking tags. Question: What pace are the kids expected to run? It is an “at your own pace” event.
Box Tops/Cash for Trash: Amanda Kirby. We have some new programs this year because some have changed/ended. New ones are Schoola, Kula, and Papa Johns. More information about these will be coming home soon. Collection is the 15th of every month and off to a great start. This month so far box tops (3,770) Coke codes (2,415). These items turn into cash for the school. Papa Johns will be a code that you can give them all year long every time you order. Clothing recycling program coming soon, Mrs. Traveline mentioned there is no storage on site.
First Spirit Night is Chuck E. Cheese on October 7th from 3 til 9pm. Followed by Skate Night on 10/11.
County Council News: Amanda Kirby. Attended Internet Safety workshop on 9/12/16. See attachments to these Minutes. Amanda read highlights. Mrs. Traveline said these internet safety issues are affecting Elementary schools as well as upper grades. Mrs. Slemaker is sharing this information.
Room Parents: Christina Kinne. Two room parents are needed for each classroom. Christina outlined classes that are still in need. Spread the word. Roughly takes 3 hours per month and should not cost the room parents any money out of pocket. On October 6th there is a room parent meeting to outline the position and calendar of busy times.
Volunteers: LaToya Blizzard, Coordinator. Welcome LaToya our new Volunteer Coordinator. SUG is out for lunch help these first few weeks. Pumpkin Lighting and Holiday Shop are coming soon. Holiday Shop requires a vendor coordinator to solicit and manage vendors. There are a few people that marked interest in this on their Volunteer Form, will be reaching out. Cynthia Rogers suggested maybe having a Santa for the PTA, charge $1 a photo to raise money. Last year the teachers’ organization had a Santa in conjunction with their pancake dinner on the same night at Holiday Shop.
Pumpkin Lighting: Michele Custalow, Chair: Date set for October 27th from 5-8pm. Volunteers will be needed for concessions, set-up, clean-up and Trunk or Treat. Best trunk will receive a $50 Amazon gift card. Trunk or treat will be from 5pm – 6pm, then at 6pm will be a costume contest. Megan’s dad will lead the parade with Bagpipes again. We need a DJ! Or an M.C. with a good play list and speakers. Also we’ll need a microphone and lighting. Flyers will be coming home soon about pumpkin donations. Teachers will pick a theme and room parents will decorate or find someone to decorate the class pumpkin. 2nd grade will do their own individual pumpkins for the “patch”. SCA will be selling drinks, asked the 5th grade team to consider cans of soda rather than 2 liters to eliminate the pouring and speed of line. Also water and something non-carbonated. Question: Do we want to utilize the ice cream truck like Carnival? Discussion followed, where to park? Cold weather? If we do it, 20% of sales go to us. We are selling Chick-fil-A and pizza again. Presented an idea of a big “reveal” of the pumpkins. Discussion about what would be a good time? Right after the costume contest would be the best time if it’s done, people come and go over the 3 hours.
ØOpen Positions:
- Membership Chair position is open, contact Starlet if interested. Contest for classroom with most membership by September 30th. Christina Kinne explained that each person that joins counts for all of their kids’ classes if they have multiple children. Parents don’t need to join multiple times.
Brenda Mason reported 219 total members as of 9/21, 52 of them male.
- Reflections Committee is still in need of members. Starlet needs to bow out, because her son is submitting an entry. Mrs. Brown asked what can we do to make this National PTA program more noticeable and get more people to participate? Perhaps a “Gallery night” to show off past entries to inspire interest. Will ask Dr. Delbridge to help show off to families what a great activity it is. How can we generate as much interest in Reflections as we do in events like Pumpkin Lighting?
- Secretary is open, welcome to Gerri Matlaga who is willing to take on this position. Gerri introduced herself and outlined her experience. Because this is a board position we will need to vote next meeting.
ØProposed Legislative Action
See attached PLP Ballot. Starlet read aloud the Proposed Legislative Action and two Position Statements. Advised that only active PTA members can vote. Vote was taken by show of hands on each item individually and recorded by Starlet.
ØNew Business
Lunch Fund Drive: new program this year to minimize the mandated “cheese sandwich” which is supplied when students do not have lunch or funds. We will be selling cut-outs related to the All Hands on Deck Theme that students can buy and decorate to hang in the hallways. Two options: $1 small or $5 large. Mrs. Traveline is also reaching out to some local churches. St. Luke’s already does so much for us, trying to coordinate with some other churches for donations.
Grade Level Grants: Starlet is working on these, have more classes.
New school project – Vegetable Garden: Kristen Keatley and Mrs. Traveline are pulling a program together for a Vegetable Garden. Also, this is Jacobs 30th anniversary! Revamping the idea from the 25th about a project for out front. Anyone interested in either of these projects please contact Kristen or Starlet.
Watch D.O.G.S.: Cathy Patterson is coordinating again this year. Kickoff is October 20th at 6pm, prior to the PTA meeting at 7pm. Very successful last year, hoping for the same this year.
ØMotion to adjourn by Brenda Mason, seconded by Eileen Traveline. Meeting was adjourned by Starlet Farrior at 8:26 pm.
Respectfully submitted: B. Mason 9/28/16

ØCall to Order
Amanda Kirby, PTA President-Elect, called the meeting to order at 7:13 pm.
ØPledge of Allegiance
ØWelcome and Introduction
Amanda introduced herself as the President-Elect, stated Starlet unable to attend tonight. Sorry for the late start and changing to the cafeteria. The Watch D.O.G. program just kicked off and we had a great turnout again this year!
ØApproval of prior Meeting’s minutes
Amanda read a few highlights from the September minutes. Copies are available for your review. We’ll be voting for the Secretary position later in this meeting. If there are no questions or points of discussion, Amanda asked for a motion to accept without reading aloud entirely. A motion to accept was made and seconded. September 2016 Minutes approved as presented.
ØTreasurer’s Report
Megan Lester was unable to attend tonight. Amanda presented the September 2016 Treasurer’s report. Copies of the Treasurer’s Report are available for review. Summary of 9/30/16 report: Starting total: $4,428.69. Income $3,785.10, Expenses $6,195.59, ending total: $2,018.20. If there are no questions or points of discussion, please motion to accept the report. Motion and then seconded by Kristen Keatley. September 2016 Treasurers Report approved as presented.
ØPrincipals Report
Mrs. Traveline is at a Teacher of the Year ceremony with Mrs. Rodes, so she was unable to attend. Mrs. Brown apologized for the delay in starting the meeting, unavoidable with Watch D.O.G. event that was so successful. Lots going on, the Ballet was here for K-2nd they enjoyed it. 1st grade is going to Maymont tomorrow. Testing on DRA levels and PALs is going on now. Pumpkin Lighting is next week, we’re all looking forward to it. Mrs. Brown put forth a motion to extend the deadline for turning in Reflections submissions. Paperwork with rules and information went home just recently to all students and she feels it isn’t enough time for students to prepare if they didn’t already know about it. They’ve made announcements on the PA and want to give it a last push. VA PTA deadline is the following week so we do have the time to extend to 11/4/16 rather than Pumpkin Lighting being our deadline. Motion seconded and passed by unanimous vote.
ØTeacher Introductions and Reports
Kathryn Ricotta for Kindergarten: New to Jacobs, K is busy and going well.
Mrs. Meeley for 1st grade: Excited about Maymont tomorrow. They’re creating a new PBL for 1st grade and will be working on that in December. Working now on being a Scientist and Investigation.
Mrs. Dyson for 2nd grade: working on testing for reading levels
Carol Hamrick for Resources: excited to start ukuleles for the 2nd grade, and is wanting to extend it to upper grades also. She would like the PTA to consider buying 8 more ukuleles, she will provide details and costs for our consideration. 4th grade starts with recorders the 3rd nine-week period.
Amy Lawson, Coordinator of Special Education: also working on reading tests and generally providing support to students in classrooms.
ØStanding Committees and open positions
Ways and Means: Amanda Kirby for Cash for Trash already collected:
- Box Tops = Oct - 4,072 ($407.20) and YTD - 7,585 ($758.50)
- Coke Codes = Oct - 523 and YTD - 2,938.
Other program updates:
- Lunch fund drive: New tactic this year, the “All hands-on deck” cutout donation kick-off brought $140 initially. Tonight, we’re having our meeting in the cafeteria and the decorated Hands and Ships are hanging on the wall.
- Papa John’s has a new program, use the school code JRES every time you order all year long and we’ll get a percentage. There will be a special week each month as well.
- Chuck E. Cheese fundraiser made $285.
- Does anyone have any grant writing experience? Kristen has a few ideas, trying to do something in the front of the building, raised beds or vegetable garden? Something to beautify. Needs help with this project.
- Skate night brought in $108, Kristen stated she’s working on another spirit night for December.
- Fall fundraiser this year is the Fun Run, every student participates. https://www.boosterthon.com/ We still need Sponsorships from Community partners. Kick-off is Halloween, there will be a pep rally. This is a fun race of approximately 30-35 laps and it can be done at students own pace. They can walk if they choose. If the pledge program can get us an average of $1/lap, we’ll meet our goals. Also, there will be ongoing incentives to the students during their lunch times. Actual run in 11/11, 4th grade will be at Jamestown, but we’re working on it.
- The EPI school supply program made approx. $300 profit, not meant to be a fundraiser but a convenience. Looking for feedback from teachers and parents. Contact Kristen Keatley, she’ll need to set up soon for next year.
Pumpkin Lighting: Michele Custalow – volunteers needed. It’s going fairly smoothly so far. DJ will be Shannon Wakefield. We discussed last meeting maybe doing a “big reveal” of the pumpkins, but it’s too hard to time so we’re tabling that idea for this year. Cotton Candy machine is in limbo, having vendor issues, looking for alternate. Trying to get the pumpkins to the room parent or their designee for decorating. Tomorrow is the pick-up 3:30 – 5:30, please let Christina Kinne know when you pick up or if you are supplying your own so she can be sure all classes are covered. We don’t want any sad students! 2nd grade pumpkin patch is in the middle again. SUGs out for the Lighting and for the Trunk or Treat, we have 14 trunks but would like up to 20. PTA providing the candy. Book Fair happening simultaneously. One more week!
Room Parents: Christina Kinne, chair. Had a meeting with the room parents to go over duties and get questions answered. Each class has two room parents. Right now, the main thing is to pick up the pumpkins.
County PTA Hot Topic: Amanda stated the county has posted dates for each district that is holding a community meeting about school start times. We are the Dale District.
Volunteers: LaToya Blizzard, Coordinator. As mentioned by Michele there are two Sign ups out for next Thursday and for the Book Fair. The Book Fair needs a lot of day time volunteers. Pumpkin Lighting has had a good response. After next week, we’ll start on Holiday Shop and cookie exchange.
Membership: We are still in need of a Membership Chair. At this point, all the Membership forms collected so far have been entered into a spreadsheet by Brenda Mason, but we need to do another membership drive after the first of the year. Contact Amanda if interested.
ØNew Business
Secretary: Tonight we ask our PTA membership to vote on electing Gerri Matlaga for the role of Secretary. We have 23 members present. Last meeting Gerri introduced herself and is the only nominee for this open position. Now Amanda will take a vote by show of hands to elect Gerri to the Secretary position. All AYES and no NAYS. By unanimous vote of the members present, Gerri Matlaga is our new Secretary. Welcome and Congratulations!
Holiday Shop: This year we’re not doing a coordinated pancake/Santa event with the teachers’ sorority. People have expressed that last year the “penguin patch” was missed, this is the area set aside for kids to secretly buy presents in the $1-$5 range for their families. Shelley Saunders will ask her church youth group or TASPIO group at Manchester Middle to see if they would set up a cheaper gift section rather than using the vendor. Holiday Shop is December 8th. Following Thursday, the 15th is the cookie exchange which will be in the hallway as the Richmond Symphony will be here that day using the stage. Question and discussion around selling food? Kristen Keatley suggested we just go back to the giving out cookies and cocoa. Christina Kinne suggested we do not ask for cookie donations from the parents for this because we need those for the teacher cookie exchange. Can PTA cover cookie purchase?
Keeping teachers informed: Mrs. Hamrick asked that when we send flyers we include one extra in the class count, so the teachers have one. Example was a spirit wear flyer she didn’t get to order. Email to teachers from PTA biweekly was useful too.
ØMotion to adjourn meeting by Christina Kinne, seconded by Kristen Keatley. Meeting was adjourned by Amanda Kirby at 7:55 pm.
Respectfully submitted: B. Mason 11/1/16

A motion for the Budget amendment was made by Megan Lester and 2nd by Michele Custalow.
- Drawing – An attendance drawing took place for a basket of school supplies. The winner was Terry Gordon. We’re hoping to increase attendance with this tool.

ØCall to Order
Starlet Farrior, PTA President, called the meeting to order at 7:00 pm.
ØPledge of Allegiance
Led by Zach Farrior and Hoke & Brogan Lester
ØWelcome and Introduction
Starlet introduced herself as the President, Megan Lester as Treasurer, Amanda Kirby as President-Elect and Michele Custalow as VP of Programs. Welcome to our new year!
ØApproval of prior Meeting’s minutes
Currently our Secretary position is open due to the resignation of Hayley Bannister, unfortunately for us, she’s moved out of the Jacobs area. Starlet stated that the minutes from the May 2016 meeting are available this evening for review. We did not have a general membership meeting in June. Mrs. Traveline mentioned the Gift to the school in these minutes is the book cart for Kindergarten, because 1st and 2nd already have one. Entire gift amount was not spent. If there are no questions or further points of discussion, please motion to accept without reading aloud entirely. Michele Custalow motioned and Brenda Mason seconded. May 2016 Minutes approved as presented.
ØTreasurer’s Report
Megan Lester had several business items. Copies of each report were on the tables for review. (also attached to these minutes)
First, she presented the June 2016 Treasurer’s report. Our fiscal year is July 1 through June 30. Megan presented report. If there are no questions or points of discussion, please motion to accept the June 2016 Treasurer’s report as presented. Michele motioned, Kristen seconded. June 2016 Treasurer’s report approved.
Before any monies can be spent in the new fiscal year an audit needs to be conducted and approved by the general membership. In July our committee attended an Audit Swap conducted by local PTA’s where we audited the books of Spring Run Elementary. Our books passed the audit and Megan read the take-aways aloud. In addition, this Audit has been submitted to and accepted by the IRS. (see attached audit) If there are no questions or further points of discussion, can we have a motion to accept the Audit as presented? Kristen motioned, Michele seconded. Audit approved.
Megan presented the July 2016 Treasurer’s report. Not much happened in July. If there are no questions or points of discussion, please motion to accept the July 2016 Treasurer’s report as presented. Eileen Traveline motioned, Kristen seconded. July 2016 Treasurer’s report approved.
Finally, our 2016-17 budget needs to be approved. Changes in budget from last year were discussed: Lunch fund has changed, as we will be soliciting donations via a boat cut-out (to go with “All Hand on Deck” theme). $1 / $5 donation gets a boat to decorate and hang in school. St. Luke’s will also be making a donation. If there are no questions or points of discussion, please vote to accept the budget. Eileen Traveline motioned, Karen Brown seconded. All in favor? Ayes have it, 2016-17 budget approved as presented.
ØPrincipals Report
Mrs. Traveline asked how they can help the PTA fill our open positions. Discussion around Kindergarten orientation and making a presentation like Christina Kinne did last year. Latoya is interested in speaking this year in this capacity. How can we get more Hispanic parent involvement? We need someone to translate PTA materials into Spanish for us, County handles school related documents. ESL teachers maybe can do shorter flyers, etc. Staffing changes included on attached staff roster.
Discussion about our 42-43% poverty level, Mrs. Traveline answered questions on what the difference is about becoming Title I. Generally speaking Title I would provide more support and assistance while increasing accountability for teachers and administration. Several steps to go through to get there. Jacobs is a fully accredited school.
Postcards with teacher assignments go out from the office on Monday the 29th and Thursday is meet the teacher night.
Mrs. Brown added the theme this year “All Hands on Deck” is part of the plan to ensure all the students at Jacobs are everyone’s students. All Hands on Deck is everyone working together.
ØStanding Committees and open positions
Ways and Means: Kristen Keatley introduced herself as Chair of Ways and Means and Amanda Kirby as Cash for Trash lead.
Some specifics discussed:
- Cash for Trash has a few changes that will come out on the flyer. Some companies have changed or eliminated their programs.
- Papa John’s has a new program, use a school code every time you order all year long.
- Chuck E. Cheese, Skate-a-Way, Sweet Frog spirit nights remain.
- Fall fundraiser this year is the Fun Run, every student participates. https://www.boosterthon.com/ We need a Sponsorship Committee to work with Community partners, do tiered support (each level of donation gets advertising on our website or 900 t-shirts, etc.). A letter is going out to businesses, draft in progress. Also a T-shirt committee needs to get order in by 9/27/16.
- Direct donation program is still available. We don’t expect much but want to leave the option available.
Proposed Legislation: Starlet Farrior will be sending out a link to a survey to vote on upcoming position(s). VA state PTA compiles votes from local units and presents them to the legislation.
Hospitality: Bridgette Farmer has joined us as the Chair of Hospitality. Teacher gifts will be delivered Monday, August 29th. Discussion around correct number of teachers. Eileen quickly went over list of “full-time” vs. Itinerant. 56 is the current correct number, Bridgette is all set.
Cookie exchange in December is already on the radar, more info to come.
Spirit Wear: Amanda Kirby – left over and new spirit wear will be out for sale at Meet the Teacher, Back to School, Pumpkin Lighting, as long as we have enough hands to help. Price is the same: T-shirts 12, Long sleeve 15, Polo 17, sweatshirts 25. Offering polos this year, the teachers have asked.
Pumpkin Lighting: Michele Custalow – volunteers needed. SCA will be doing soda again this year. Discussion asking for help, would cans be better than 2 liters and cups? For litter reasons and ease of the kids pouring it. Also something besides soda? Mrs. Traveline will contact the SCA teacher leads once they’ve been identified for the year. Find out about Mahdi Dublin, he may not be DJ this year.
Yearbook: Michele Custalow – volunteers needed. Compliments to the committee for last years’ book, it came out great.
Reflections: need an additional person on committee: Starlet Farrior, Michele Custalow, Amanda Kirby and Karen Brown. 5 would be the odd number needed for judging.
Volunteers, Membership: Open positions. Please contact Starlet if you are interested for yourself, or know someone else.
